Login and Registration

How do I login to the Virtual Platform?

Access to the portal opens at 8:00 AM ET on Monday, February 15. Visit acesummitandexpo.com/2021/virtualexperience to log on to the portal. From the portal, you can:

  • Access Educational Sessions
  • Access your Reverse Expo
  • Accept 1:1 Meeting Requests
  • Access Boardroom Sessions
  • Access Keynote Sessions
  • View Sponsored Hosted Suites

 

When will I receive login information?

You will be asked to enter a username and password when you click on the "Access Virtual Experience Button" on the home page. You will need to choose reset password at the bottom of the page. This will email you a link to create your password.

  • Your Username is your email address
  • You create your password when you choose reset password.

Employee Assistance Fund

Each year you have the opportunity to give back by participating at the ACE Summit. This year, your participation will benefit your Employee Assistance Fund (EAF). Providers can have the $200 donation made to their EAF by completing all three functions below at the 2021 ACE Summit Virtual Experience.  

  1. Participate in the Virtual Reverse Expo OR 1:1 Meetings
  2. Attend ONE Boardroom Session
  3. Visit FIVE booths during the PDC Showcase

Sessions Agenda

How do I attend Educational Breakout Sessions?

Once you login to the Virtual Experience platform, you will be able to see all of the sessions that are offered during the day. For an entire view of the 2021 ACE Summit Agenda, you can visit the Sessions page.

The agenda with links to sessions appears on this page, you can add to your personal calendar using the small calendar on the far right hand side of the session.

To join a session, click on the link adjacent to the session title. If you are early for the session, you'll enter a waiting room. When the session opens, you will be automatically redirected to the session.

Please note, educational sessions are open to all attendees and no pre-registration is required to participate.

How do I attend a Sponsored Boardroom Session?

You are invited to participate in the 2021 ACE Summit Boardroom Sessions. Boardroom Sessions are in-depth educational forums offering opportunities for discussion and learnings related to current issues impacting the healthcare facilities and capital equipment management.

  • These sessions do require an RSVP, contact Trey Beuttel at 859.394.4247 to get registered for an industry leader's session.

Attend one Boardroom Session during the 2021 ACE Summit Virtual Experience to move one step closer to obtaining the $200 donation towards your Health System's Employee Assistance Fund.

Can I watch a session after the session is over?

Sessions recordings are available for on-demand consumption until April 5, 2021.  Session recordings will be posted after the session ends. You can navigate to the session recordings on the Virtual Experience platform or by using this link.

How do I navigate the sessions page?

Can I interact with the presenter and other attendees during sessions?

For streamed sessions, you'll find two chat features on the session page:

Use the green chat icon to interact with all session participants and the presenter.

Use the blue chat icon to private chat all attendees attending ACE Summit and to manage your 1:1 meeting interactions.

How do I attend Keynote Sessions?

Once you log on to the Virtual Experience platform, visit the Sessions page. The agenda with links to keynote sessions appears on this page.

To join a session, click on the link adjacent to the session title. If you are early for the session, you'll enter a waiting room. When the session opens, you will be automatically redirected to the session.

Please note, keynote sessions are open to all attendees and no pre-registration is required to participate.

 

Can I watch a session after the session is over?

Sessions recordings are available for on-demand consumption until April 5, 2021.  Session recordings will be posted 24 hours after the session ends. You can navigate to the session recordings on the Virtual Experience platform or by using this link.

 

Can I interact with other attendees during sessions?

On the Keynote sessions page, you'll find two chat features: one to chat with all session attendees and another chat window to manage your 1:1 meeting interactions. For more information on how to use the chat features, please review the How-to Attend Sessions Guide.

1:1 Meetings

When does the 1:1 Meeting Platform open? 

The 1:1 Meeting Portal will open beginning Monday, February 15 at 8:00 AM ET. Monday, February 15, is the first day you may send or receive a 1:1 Meeting request, but check daily as new requests can come throughout the 2021 ACE Summit Virtual Experience. The meeting request window will be open until Friday, March 5 at 8:00 PM ET. 

 

What is the process to send meeting request?

  • Visit the 1:1 Meetings tool to view the Participant Directory and request meetings.
  • Find an attendee you would like to schedule a meeting with, add in your virtual meeting location URL, click on the time in the time slot you would like, add additional participants to the request, and select the "Request Meeting" button in the top right of the screen.
  • After you request a meeting, you will receive a Thank You pop-up and the recipient will receive an automated email with your request. 
  • After a meeting is confirmed, it will appear on all participants personal schedules and a link to the virtual meeting room will be provided. 

 

What is the process to accept, modify, or decline a meeting request?

All of your pending meeting requests will be under My Meetings in the 1:1 Meeting tool. You can accept, decline, or cancel meetings from this dashboard.

  • Visit the 1:1 Meetings tool to view My Meetings.
  • You can Accept or Decline meetings in your Pending Meetings section of this page.
  • If you would like to suggest a new time, you can click the message icon to send a chat to suggest another time.
  • The person can resend a meeting request at the agreed upon time.
  • You can accept that meeting in the Pending Meetings Tab.

All of the meetings you accept will be shown in the Confirmed Meetings tab.

  • These meetings will be hosted on the Meeting Creator's Video Conferencing Platform (Zoom, Teams, Google Meets etc)

In the event the meeting needs to be cancelled, you can choose cancel and they will be shown in the Cancelled Meeting Tab.

How can I see who is accepting 1:1 Meeting requests?

All individuals who opted in to receive meeting request will appear in the All Participants section in the 1:1 Meeting tool. 

  • The top right hand corner you can search by Name, Title, Organization etc
  • There is an icon with three lines in the top right hand corner, you can use this to filter your search by attendee type, GPO affiliation, size, beds etc.

How to add secondary participants to 1:1 Meetings?  

The original attendee who sent the meeting request can add additional participants when the meeting request is created. If additional attendees need to be invited, you will need to send out a new meeting request.

Hosted Suites

Throughout the 2021 ACE Summit Virtual Experience, Sponsor Hosted Suites will be open for you to learn more about the 2021 ACE Summit Sponsors. These suites will feature videos, educational brochures and the attendees from each Sponsoring organization offer opportunities to engage with leading healthcare organizations. You even have the option to schedule a meeting from their Hosted Suite Page to learn more about the products and solutions these industry leaders have available.

  • Hosted Suites open on February 22.

Virtual PDC Showcase

Visit with the nations leading firms in Architecture, Capital Equipment Planning, Engineering, and General Contracting  during The Virtual PDC Showcase. The Virtual PDC Showcase is open on Wednesday, February 24 from 2:00-4:00 PM ET. Visit with five booths on Wednesday to move one step closer to obtaining the $200 donation towards your Health System's Employee Assistance Fund.

Virtual Reverse Expo

The Virtual Reverse Expo is open on Wednesday, March 3 from 2:00-4:00 PM ET. You will be able to meet with PDC and Supplier attendees at your Hosted Suite Page. To navigate to your organization's dedicated page, you can click on Reverse Expo in the top navigation bar.

Post-Event

How long will I be able to access the on-demand Educational Content and visit Hosted Suites?

The Virtual Platform will be open to access on-demand sessions and visit Hosted Suites until April 5, 2021.
